How team money actually works in Game Day

The problem with a spreadsheet and an e-transfer inbox

The usual system is a shared spreadsheet, a running text thread and one person's memory. It breaks in predictable places: the spare who played in October and was never invoiced, the guy who swears he sent it, the season fee that came in from an email address nobody recognises, and the fact that nobody knows the true cost per player until the year is over and it's too late to change the fee.

Game Day replaces that with one ledger that both sides can see. Balances are always calculated from the actual payments and charges on record — there's no stored number that can drift out of sync with reality.

Charging spares without the awkward part

Spare fees are the messiest money in rec sports, because the person who owes you is often somebody you barely know. Game Day attaches the fee to the call-up itself: when your spare list gets invited, the accept button and the payment live in the same email. Set the fee once per team and it applies to every game.

  • Spares who haven't paid sit in a clearly marked Pending Payment state — they're not silently counted as confirmed.
  • Coaches can resend a payment link to one player without re-inviting anyone.
  • Goalies can be exempted automatically, because plenty of teams comp their goalie.
  • Payments already made stick to the player, so somebody who checks out and back in isn't charged twice.

Money that comes back out

Refunds are where most team-money systems fall apart. In Game Day, a paid spare who gets checked out — by themselves or by a coach — has their fee converted into a credit automatically. The credit sits on their account and applies itself the next time they're called up. Nobody has to remember, and nobody has to e-transfer money backwards.

Knowing what the season really costs

Log expenses as they land: ice permits, jerseys, referees, the pizza at the end. Game Day sets total costs against total collections and your roster size and gives you a cost per player that reflects what actually happened, including the spare revenue that offset it. That's the number you use to set next season's fee — instead of adding ten percent to last year's guess and hoping.

Every dollar runs through your own Stripe account. Game Day doesn't hold your team's money and doesn't take a percentage of it.

Frequently asked

How do players actually pay?

Each player gets a payment link by email — one tap, a card, done. No account, no app install, no reminder texts from you. Payments run through Stripe, so Stripe's standard per-transaction fee applies and the money lands in your own Stripe account, not ours.

What about the people who pay cash or e-transfer?

Record them in two taps. Game Day tracks cash and e-transfer payments alongside card payments, so the balance you see is the real balance — not just the part that happened online. Most rec teams run a mix, and the ledger handles that.

What happens if a spare pays and then can't play?

The fee turns into a credit automatically the moment they're checked out — no refund paperwork, no awkward e-transfer back. The credit is waiting for them the next time they get called up, and it applies itself at checkout.

Can goalies play for free?

Yes — that's a setting. Plenty of teams comp their goalies, so spare goalies can be exempted from fees automatically while skaters still pay.

Do you take a cut of what I collect?

No. Game Day doesn't take a percentage of your team's money. Card collection carries a per-transaction processing cost that goes to Stripe, and you choose whether to absorb it or pass it through to the person paying.
